Executive Assistant to UHNWI - Salt Lake City, Utah / Kauai, Hawaii

A UHNW family is seeking an experienced Executive Assistant to support the lady of the house. This is a full-time, service-forward role for a highly organized, discreet professional who thrives in a fast-moving private service environment and understands the importance of structure, communication, and follow-through.

This position plays a critical role in ensuring smooth coordination across household departments, supporting administrative systems, and upholding the highest standards of service. The ideal candidate is polished, proactive, and confident managing competing priorities while acting as a reliable extension of the lady of the house as well as the director of residence. This role is best suited for someone with substantial private service experience who enjoys being deeply embedded in operations and contributing to the long-term success of a complex and fully staffed household.

Responsibilities include:

  • Maintaining daily, weekly, and monthly schedules for the Household Staff Supervisor

  • Providing administrative support including drafting protocols, training materials, contracts, and performance documentation

  • Tracking household staff PTO, holiday schedules, and benefits

  • Coordinating travel logistics and itineraries for staff and family support as needed

  • Managing household manuals, vendor files, and digital systems including Google Drive, Trello, and other task-management platforms

  • Supporting large-scale projects such as seasonal transitions, major moves, and household events

  • Liaising with vendors, family office representatives, and internal teams for special projects

  • Supporting task management systems and contributing to operational refinements

  • Serving as a communication bridge between the Director of Residence, and other household staff including Family Assistants, Housekeepers, Chefs, Groundskeepers, and Vendors

  • Attending meetings as needed, documenting action items, and supporting follow-through across teams

  • Assisting with guest arrivals and departures and supporting hospitality standards during family visits or events

  • Helping maintain systems related to guest readiness, seasonal turnover, and service consistency

  • You will work closely with the Director of Residence and support overall estate operations across multiple properties.

  • Respond to special requests with grace and loyalty to The Lady of the House

Schedule & Lifestyle:

  • Monday–Friday, 8:00 AM–5:00 PM

  • Primary residence with offsite work opportunities in Utah and Kauai

  • Travel required, including occasional travel for household events and family support

  • Relocation available for the right candidate

The ideal candidate:

  • Has a minimum 2 years of experience in private service

  • Is highly organized, discreet, and dependable

  • Communicates clearly and professionally, both written and verbal

  • Is confident managing multiple priorities in a dynamic household setting

  • Takes a proactive, solutions-oriented approach to problem-solving

  • Is comfortable using digital tools such as Google Suite, Trello, and Slack

  • Works well within a team-oriented, service-driven environment

Compensation & Benefits:

  • $100,000–$130,000 annually

  • No benefits offered at this time, though there are talks of organizing staff benefits

Paid time off and holidays negotiable once a second Executive Assistant is hired

Must be available to interview and trial immediately, with an immediate start preferred
